About this filing

If your limited company runs a PAYE scheme, you must tell HMRC when its business name or trading address changes.

Changing it for Corporation Tax or VAT does not update the PAYE record. Our service updates the employer PAYE record for one change: the business address, the payroll correspondence address, the payroll contact details or the business name.

You give us your employer PAYE reference and the new details. We check that the company has authorised us for PAYE, then prepare the update.

We never ask for your Government Gateway password.

How to change your employer address with HMRC for PAYE

GOV.UK says you must tell HMRC if you change your business name or your trading address. You need to update each tax you are registered for, and PAYE for employers is one of them. Changing your address for Corporation Tax or VAT does not update the PAYE record unless you tell HMRC about that too.

There is no numbered paper form for this. HMRC's online service to tell it about changes to your business covers your correspondence address and payroll details if you are an employer. You can also call the HMRC employer helpline on 0300 200 3200 (Monday to Friday, 8am to 6pm) or write to the National Insurance Contributions and Employers Office, HM Revenue and Customs, BX9 1BX.

If you use our service, we act as your agent. We use our own HMRC agent access, so you do not share any sign-in details with us.

What you can change with this service

  • Business address: where the company actually trades from.
  • Payroll correspondence address: where HMRC sends employer PAYE letters.
  • Payroll contact: the name, phone number and email of the person HMRC should deal with about payroll.
  • Business name: the name on the PAYE record, after any company name change has been registered at Companies House.
  • Something else on the employer record. Tell us what it is and we confirm whether this service can handle it before you pay.

What you need to change employer PAYE details

  • Your employer PAYE reference. It is on HMRC employer letters and normally looks like 123/AB456. It is not the Accounts Office reference.
  • The new address, contact details or business name, exactly as you want HMRC to hold them.
  • The date the change took effect.
  • Agent authorisation for PAYE. Tell us if you have not done this yet, and we explain the HMRC step needed.

Is there a deadline to update PAYE details?

GOV.UK sets a 30 day limit for telling HMRC about VAT changes. The PAYE pages we checked do not give a fixed number of days, but you must still tell HMRC. Do it as soon as the change happens.

Out of date details cause real problems. HMRC letters about payments or penalties can go to an old address. HMRC also runs security checks when you call the employer helpline, and asks you to keep your business details up to date.

Company name or registered office changes: Companies House comes first

A limited company's legal name and registered office address are held at Companies House. GOV.UK says to tell Companies House about changes to your Corporation Tax details before you tell HMRC.

So if the company has changed its name, register that at Companies House first, usually with form NM01. If the registered office has moved, file that change at Companies House too. Then update the PAYE record. Those Companies House filings are separate services and are not included here.

After you ask us to update the PAYE record

Enter your employer PAYE reference, choose what needs changing and give the new details and the date of the change. We check the company's PAYE authorisation and ask about anything unclear before preparing the update.

HMRC updates its record once it processes the change. HMRC does not publish a set time for this on the pages we checked, so keep an eye on where your next employer letters arrive. Payment does not on its own mean HMRC has updated the record.

Other records need their own updates. Corporation Tax, VAT and CIS are separate. Your payroll software also holds employer details, so update it to match.

Common employer PAYE update mistakes

  • Updating the Corporation Tax or VAT record and assuming PAYE changes too.
  • Changing the PAYE record to a new company name before Companies House has registered it.
  • Confusing the employer PAYE reference with the Accounts Office reference used to pay HMRC.
  • Using this route for employee changes. A new employee, a leaver or other employee changes are reported through your payroll on the Full Payment Submission (FPS).
  • Forgetting CIS. If the company is a contractor or subcontractor under CIS, GOV.UK says to tell HMRC separately.
  • Sending anyone your Government Gateway password. You never need to share it with us.

Change employer PAYE details: common questions

How do I change my company address for PAYE with HMRC?

Use HMRC's online service to tell it about changes to your business, call the employer helpline on 0300 200 3200, or write to the National Insurance Contributions and Employers Office, BX9 1BX. Or use our service: give us your employer PAYE reference and the new address, and we prepare the update as your agent.

Does changing my registered office at Companies House update HMRC?

Do not rely on it. GOV.UK says you must update your details for each tax you are registered for, including PAYE for employers. File the Companies House change first, then update each HMRC record.

Is there a fee to change employer details at HMRC?

No. HMRC does not charge for this. If you use SimpleFilings, the only charge is the £4.99 SimpleFilings service fee.

How quickly must I tell HMRC about a PAYE address change?

The GOV.UK pages we checked do not set a fixed number of days for PAYE, unlike the 30 day limit for VAT. You must still tell HMRC, so do it as soon as the change happens.

Can I change an employee's details with this service?

No. This service updates the employer record only. Employee changes, such as a new starter or a leaver, are reported through your payroll software on the Full Payment Submission.

Do I need to give you my Government Gateway password?

No. We use our own HMRC agent access. The company needs to authorise us for PAYE, and we tell you if another step is needed.
